PURPOSE OF THE ROLE:

To help maximize our visitors’ enjoyment of National Trust for Scotland managed sites by maintaining excellent standards of service, optimising opportunities to generate income and ensuring that the site and its assets are safe and secure.

Specifically, to provide an efficient, reliable service and high standards in collections care and general cleaning at the property.

KEY RESPONSIBILITIES:

As directed by the Visitor Services Manager to carry out a wide range of collections care duties including:

• In line with current NTS best practice, clean and care for the collection of furniture, books, artworks, glass, ceramics, metals, textiles, other objects and historic interiors.
• Ensure all public areas are kept clean and tidy.
• Work with your line manager to allow visitors to interact directly with the objects on display whilst ensuring that their condition is monitored and maintained.
• Keep up to date and accurate conservation records.
• Help to ensure the NTS Integrated Pest Management regime is in place and monitored.
• Help to ensure Emergency Plans and related equipment is up to date
• Work with conservation volunteers and take an active role in staff and volunteer training in liaison with your line manager.
• Work with other staff to plan and deliver ‘conservation in action’ programmes and other public engagement activities and, where relevant, contribute content to social media.
• Ensure collections care, cleaning and conservation materials are available, properly maintained and stored.
• Deliver excellent customer care (internal and external) to foster a friendly and inviting atmosphere for visitors, staff and volunteers.
• Support the Trust’s obligations to minimise impact on the environment, through e.g. efficient use of water/heat/light, recycling and the disposal of waste, considered use of transport
• To actively feedback visitor comments to develop and improve conservation and visitor experience.
• To assist with the set-up, stewarding and break-down of events in relation to collections.
• To ensure the site meets with Health and Safety legislation in liaison with your line manager.
• To use personal protection equipment as provided and directed by your line manager
• To maintain excellent standards of site and personal presentation at all times, working with other Property staff, the Regional Team and contractors.
• Assist with collections care at other cluster properties, if required.
The Visitor Services Supervisor (Collections Care) based at Newhailes will have an overview of non-operational documentation, such as housekeeping plans.

Daily banking such as cashing up of till, ensuring that till balances, end of day reports etc.
Administrative duties including responding to customer emails, processing of sales orders and invoices, run reports, complete all end of day tasks organising daily diary
Provide admin support to the team

Qualifications & Experience

VISITOR ASSISTANT

The role

Working across the Galleries at each of the building’s entrances, and on the Switchboard, the Visitor Assistant is responsible for providing an excellent welcome and leaving experience for our visitors. The role will provide outstanding service and information, answer queries, and will actively sign-up new Friends, encourage donations, sell tickets and other products.

You will work at our three principal sites, the Scottish National Gallery, the Scottish National Gallery of Modern Art, and the Scottish National Portrait Gallery and flexibility will be required to work between our sites.

The team

You will be part of the Security and Visitor Services department as it enters an exciting new phase focusing on providing the best possible experience every time we engage with our visitors and staff, while promoting a culture of continuous improvement in everything we do.

Responsibilities

As a Visitor Assistant you will:

• Provide welcoming and engaging conversations with our visitors at the entrances, on the phone and via email giving advice and answering queries
• Actively promote our Friends scheme and convert visitors into Members.
• Drive satisfied visitors to make donations to our boxes situated at the entrance/exit to the Galleries.
• Sell tickets and other products.
• Seek out all NGS related content gaining knowledge to act as an ambassador about our galleries, our collection and exhibitions, events, our shops and cafes and other activities.
• Communicate with colleagues across departments to gather information to answer visitor enquiries.
• Share knowledge and expertise with team members to improve understanding across the department.
• Accurately collect all customer data in line with GPDR and NGS guidelines.

SUMMARY TERMS AND CONDITIONS

HOURS: Working from a choice of either 2 days, 3 days, 4 days, or 5 days a week (between 13 and 32 hours per week). Please note this role involves working weekends on a regular basis.
Hours will be 09.45 a.m. to 5.15 p.m. with some days starting at
08.45 a.m. to provide switchboard cover.

PAY: £20,828 per annum pro rata

CONTEXT

Brodie Castle is set within a 75 acre “policies” estate, it is the ancestral home of the Brodies of Brodie and consists of a number of listed buildings including the main 16th century Z plan Castle, stables, walled garden, gate houses and gardener’s bothy, as well as a number of estate houses currently used as holiday lets. The Castle consists of dressed rooms used as a guided tour visitor experience and houses a collection worth over £6m. Within the Castle is the main catering outlet and retail facility as well as housing the main estate offices. There is also the Lairds wing, a luxury 7-bedroom holiday let within the Castle.

The wider estate consists of a nationally significant designed landscape with Victorian Shrubbery, tree lined avenues, commercial forestry, agricultural land, and mature mixed woodlands surrounding a manmade lake. Within the old walled garden is a Playful Garden, consisting of imaginative play area, formal gardens, and the national daffodil collection. This area is served with separate catering and retail facilities.

The VSA Collection Care Assistant is responsible for ensuring that the collection at Brodie Castle is looked after and protected.

PURPOSE OF THE ROLE
As a Collections Care Assistant, you will be responsible for the day-to-day care of collections at Brodie Castle , Hoovering and Dusting of the Castle and making sure the Castle is ready for opening to the Public.
The post holder will be responsible for ensuring that best preventive conservation and collections care practices are followed through the implementation of an effective collections care regime in line with Trust policies and procedures.
The role will include engaging with visitors about the collection care work of the National Trust for Scotland when undertaking cleaning activities in the house. The post holder will also work closely with the function and event team ensuring all functions and events are operated in such a manner as to minimise risk to the collection without compromising the event itself.
The post holder will be part of a wider team of employees and volunteers, helping to support the property where necessary.

KEY RESPONSIBILITIES
The Collections Care Assistant is responsible for a wide variety of duties in connection with the care of the property. These duties involve the correct handling and conservation-cleaning of the collections following best-practice at all times and general housekeeping duties throughout the Castle and other buildings.

Specific duties include:

• Best-practice conservation-cleaning of the collections (furniture, metals, ceramics, glass, works of art, textiles, rugs, books, and other artefacts), using property-specific cleaning plans and approved and recommended methods, materials and equipment;
• Conducting a deep conservation-clean of collections & property pre/post-season opening and setting up/putting property to bed pre/post season opening;
• Monitoring the condition of the collections, both through routine, informal checking and formal record keeping (e.g. environmental conditions, pest damage, condition reporting mechanical wear and tear, completing Accidental Damage Reports). Any concerns, damage or loss should be reported immediately to the Duty Manager and the Regional Conservator and Curator;
• Contributing to the Trust’s Integrated Pest Management strategy and facilitating required treatments under the guidance of the Regional Conservator;
• Conservation cleaning of historic fabric surfaces (e.g. window-sills, dado rails, skirting boards, doors) and the vacuuming/cleaning of all floors and staircases as appropriate;
• Informing requirements for conservation and cleaning material/ equipment supplies with assistance from the Duty Manager and Regional Conservator, to ensure adequate sufficient stocks are maintained/ordered;
• Assist/ support with the collection care to facilitate functions and events ensuring safe handling and storage of collections and implementation of appropriate preventive measures.
• Work with Collection Care Volunteers with support and assistance from the Regional Conservator, Curator and Visitor Services Supervisor.
• Adhere to the property’s quality standards including wearing of uniform dependant on the role;
• Ensure health and welfare of property staff, volunteers and visitors by adhering to the Trust’s Health, Safety and Environment policies and guidelines. This includes working within the property’s “Safe System of Work” (the system for managing Health & Safety).
• Develop conservation and collection care knowledge and skills to ensure the highest levels of conservation-cleaning and collections care are adhered to/maintained at the property through attendance at the Trust’s annual Collections Care training programme and any other relevant training courses;
• Continued documentation of the collection to ensure collections records are maintained and up-to-date in line with NTS collections management procedures.

JOB PURPOSE

To ensure that the garden, grounds and related policies of Culzean Castle are managed and maintained as a nationally-recognized garden of outstanding historical and horticultural importance; contributing to the property’s overall conservation and development, and its enjoyment by visitors and supporters.

The role of ‘Gardener’ as a key member of the Culzean team will be heavily involved in the development plans of the garden and wider designed landscape.

CONTEXT

Culzean Castle & Country Park:
The National Trust for Scotland’s (the Trust’s) property at Culzean is located on the Ayrshire coast of the Firth of Clyde, some 19 kilometers south of Ayr. The estate has been in existence since the 16th century and comprises the former seat of the Kennedy family – Culzean Castle – together with the core 228 hectares of Cassillis and Culzean Estate. The 5th Marquess of Ailsa, with the Trustees of the 4th Marquess, gave the Castle, some of its contents and the designed landscape to the Trust in 1945. Culzean became Scotland’s first Country Park in 1969 under the Countryside (Scotland) Act and is managed by the Trust. The centerpiece of the property is Culzean Castle, acknowledged as Robert Adam’s masterpiece in the Romantic Castellated style, matched by its sublime cliff top site. The designed landscape contains a rich variety of features, including some by Adam, such as the Viaduct and the Home Farm, to complement his design for the Castle, and is important also for its gardens, policy woodland plantings and natural heritage.

The Castle and Country Park is the most significant property in the ownership of the Trust in terms of scale of business, investment and profile and is currently undergoing an extensive period of investment and development to establish it as one of Scotland’s leading heritage visitor attractions.

Culzean Castle Garden:
The gardens and designed landscape at Culzean have been independently assessed as being of outstanding significance. They feature at the highest level across all categories in the benchmark Inventory of Gardens and Designed Landscapes in Scotland managed by Historic Scotland – one of only 5 sites in Scotland to do so.

The extensive formal lawns of the Fountain Court, the planted south-facing Terraces and the Orangery are focal points for visitors crossing the Viaduct to the Castle, and feature frequently in photographs of the property. The Walled Garden – which lies to the south-west of the Castle – is double in construction. Its northern half is managed as a production walled garden with soft and top fruit, vegetables and cut-flowers as well as extensive herbaceous borders; it is in the process of redevelopment with an emphasis in increasing the range of production an enhanced visitor experience. The South Walled Garden contains impressive fruit ranges (Peach House and recreated Vinery) but otherwise is more ornamental; the display here is also undergoing redevelopment and extension. A woodland garden called Happy Valley extends behind the walled garden and contains a number of built features relating to the productive history of the landscape as well as specimen trees, rhododendrons and a selection of exotic woody plants. The garden team also maintains a number of other small amenity plantings throughout the park as well as holiday cottage gardens and other public areas.

KEY RESPONSIBILITIES

The Key Purposes of the job will be met by:
1. Undertaking practical maintenance of the garden (e.g. managing trees and shrubs, herbaceous plants, and bulbs; turf care; pest/disease/weed control; staking, plant nutrition, composting and soil improvement to the required standards expected by the Trust and for the maximum safety of, and enjoyment by visitors including other professionals in the horticultural industry;
2. Fostering positive relationships with local communities and organisations and promote the work of the Trust.
3. On occasion, supervising and working with volunteers and/or staff members to ensure they deliver required outputs at the appropriate standard, and gain benefit/satisfaction from their activities;
4. Demonstrating self motivation, organizing, planning, and prioritizing and good time management;
5. Undertaking such other reasonable duties as may from time to time be required to ensure the smooth running of the property as required by the Head Gardener.
6. Ensuring compliance with the Trust’s health, safety, and environment policies and procedures.

JOB PURPOSE

An interesting role responsible for the maintenance needs and health & safety compliance the Brodie Castle & Estate portfolio that encompasses, Historic Listed buildings, modern visitor centres, tenanted dwellings, Holiday Cottages and estate infrastructure.

This requires an organised individual with understanding of facilities management and practical maintenance skills. Experience of supervising contractors, managing budgets and small projects, and setting up safe, risk-aware working environments is essential.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Achieve high standards of maintenance and presentation for estate buildings and infrastructure

• Manage and deliver an annual programme of planned preventative and reactive maintenance, to time and budget, with priorities set through systematic conditions monitoring. Property assets include:

o Brodie Castle, Playful Pavillion, Playful Garden structures, Adventure Playground, car parks and surrounding landscapes
o Residential tenanted property
o 4 Holiday lets
o Bird Hides, Agri shed, Gardeners Bothy and buildings
o Sewage treatment facilities and Septic Tanks

• Responsible for the appointment, co-ordination, and supervision of qualified works contractors on site.

• Work with estate tenants and regional rural surveyor to ensure that residential properties meet relevant condition compliance standards.

• Enable visitor centres and parking facilities to open all year round through proactive cold weather planning, e.g. gritting walkways, access roads and car parks.

• Operate fit-for-purpose workshop and storage facilities, including maintaining and servicing tools, equipment, vehicles, and other estate plant.

• Work closely with Head Gardener on joint initiatives within the wider landscape and path network, including tree management and maintenance of paths, fences, and other estate infrastructure.

• Work closely with Head Gardner to ensure all vehicles and equipment on site are fit for purpose and compliant with all H&S practices and compliant with Vehicle laws.

• Ensure all customer touch points of bins, car parks and back of house areas are kept to an excellent standard.

Take a lead in ensuring compliance with health and safety, security, managing risks and establishing safe systems of work

• Conduct planned and dynamic risk assessment of maintenance tasks, for staff and contractors, adhering to the properties’ safe working procedures and reducing the likelihood of incidents or accidents.

• Manage our preparedness for emergencies, including the testing and maintenance of fire, security and emergency lighting systems and equipment, plus the induction of staff in response procedures.

• Maintain comprehensive documentation of our compliance routines and report on these as required.

• Contribute to cyclical reviews and audits of our risk assessments and emergency processes, and progress with identified actions.

• Undertake duty management and first aid cover as required, including occasional weekend working.

• Provide out-of-hours emergency cover for the visitor centre and wider estate, including responding to alarm calls.

• Monitor staff exposure to vibrating work equipment and test machinery in line with the Trust’s Hand Arm Vibration Syndrome (HAVs) policy.

• Prepare COSHH assessments and the safe management of chemicals.

• Monitor and manage the control of access to areas or activities that may pose a danger to staff, volunteers or visitors.

Provide effective financial, people and project management

• Work within agreed budgets, negotiating costs with external contractors, ordering goods and services, and monitoring spend to ensure efficient use of charitable resources.

• Lead a motivated and effective maintenance team, through task-setting, performance management and personal development. Recruit and support volunteers, work placements and apprenticeships.

• Develop and deliver projects to make a step-change in our properties’ maintenance, conservation, environmental and visitor experience standards. Work in line with CDM regulations, as required.

• Champion environmentally responsible practices to minimize our wastage, carbon footprint and impact on the landscape.

Purpose of the role
To maximise our visitors’ enjoyment of National Trust for Scotland managed sites by maintaining excellent standards of service, optimising opportunities to generate income and ensuring that the site and its assets are safe and secure. Specifically to work as part of the team on our winter events including Brodie Illuminated.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES
To provide a consistently high standard of visitor care at all times
• Welcoming visitors to the site and processing in a friendly, efficient and knowledgeable manner;
• Welcoming visitors with special needs / impairments and providing a high level of service in accordance with the Disability Discrimination Act;

To maintain excellent standards of site and personal presentation at all times
• Ensuring site is ready to open and welcome visitors by the set opening time;
• Wearing correct uniform, name badges, or PPE as required.
• Reporting all instances of damage and wear and tear issues promptly to your line manager;
• Working in harmony with other departments; housekeeping, gardening, grounds maintenance and site repair employees/contractors.
• The general ongoing operational cleaning of all areas as necessary, toilet cleaning, emptying waste bins and as appropriate vacuum cleaning, mopping, sweeping, dusting and polishing when required;

Other duties (as required)
• To assist with the set-up, stewarding and break-down of our winter events
• To help organise events equipment and storage areas
• To actively upsell products and services to facilitate the visitor’s enjoyment.
• To actively feedback visitor comments to line managers to develop and improve offer, service, operations.
• To work flexibly across departments and sites as needed, sometimes in the retail cube or working the catering till
• To assist with Hospitality events. Staff may be asked to work through into the night hours.

Financial responsibilities

• To adhere to all financial procedures to include till operations and cash reconciliation duties.
• Help achieve sales targets and membership recruitment targets.
• Actively feedback visitor comments to line managers to improve offer, service and operation.

Health and Safety
• To ensure site meets with Health and Safety legislation in liaison with your department manager.
• To ensure that visitors vacate the site at close of business and that the site is secured at end of day.
• To use personal protection equipment as provided and directed by your line manager.
