Hopetoun House is one of Scotland’s finest Stately Homes and is managed by the Hopetoun House Preservation Trust. The Trust’s purpose is the preservation and conservation of the house, its contents and immediate grounds together with facilitating public access and making educational use of Hopetoun. Hopetoun currently welcomes around 50,000 visitors per year and is graded as a 5 Star attraction by Visit Scotland.

The Role

We are looking for a Hospitality & Event Assistant to join our team and assist our Event Managers with the delivery of luxury events, weddings and functions at Hopetoun House. You must have an outgoing, can-do personality with a passion for excellent customer service and an eye for detail.

The candidate will work alongside our Operations Team in order to deliver private events at Hopetoun.

Hours of Work and Rate

As this work is dependent on bookings the shifts are determined by the events booked and days of the week can be sporadic, but typically fall on the weekend. We operate private events all year round, however the majority of the shifts will be within the summer months. The candidate would work on a zero-hour contract, though we would expect a minimum of one shift per week at busy periods.

Rate of pay: £10.90 per hour

Food is also typically (but not always) provided during the shift.

Our core requirement is for the Saturday day events (typically from 11am – 6pm), though additional hours may occasionally be available if you wish to take them for midweek evening events, and sometimes for daytime lunches and conferences.

Duties include

Day Shift;

Preparing the House and/or event rooms before an event, making sure all is presentable
Final check of external areas – tidy and sweep if required
Unlocking windows and fire-exits before an event
Assisting with the general set-up for events (placing chair covers/stationery/occasional lights/candles)
Directing client and guest car-parking outside the House
Meeting and greeting guests, taking their coats and giving them directions
Assisting guests and clients with any queries and questions
Assisting the Event manager in moving and directing guests from area to area
Handing out (and later retrieving) shawls and umbrellas to guests and clients if required
Lighting the fires and keeping them going through an event and stocking the wood baskets
Regularly checking that toilets are provisioned and tidy
Liaising with third party contractors and working partners as directed by the Event Manager e.g. caterers, florists, bands, AV suppliers, fireworks providers, coach drivers
Anything else within reason that the Event Manager requires in order to deliver a five star event.

Taking a lead in overseeing removal of conference / wedding ceremony chairs and re-instatement of the tearoom furniture.
Taking a lead in tidying the ballroom after the caterers have removed their tables and chairs so that the Ballroom or Event Area looks perfectly presentable for the next morning
Regularly checking that toilets are provisioned and tidy
Emptying waste bins and a final tidy of the toilets
External tidy up around doorways and in the colonnades
Putting away in-house event equipment (lights, signs, display stands, umbrellas, shawls)
Locking windows and doors, closing shutters and blinds, turning all lights off
Ensuring all keys and in-house radios are returned to their positions
Staying onsite until all clients, staff and external partners are safely offsite
Anything else within reason that the Event Manager requires in order to deliver a five star event.
In addition to working alongside the Catering Manager until the end of the event, a security steward is also there to assist and will remain working alongside the Venue Supervisor until all is closed and locked.

There is no public transport near Hopetoun, so own transport is essential.

JOB PURPOSE
To maximise our visitors’ enjoyment of National Trust for Scotland managed sites by maintaining the excellent standards we set across our properties to enable us to provide the best possible experience for our visitors. Providing an efficient, reliable service and high standards in housekeeping based on the needs of the property. Specifically, to ensure that all areas and public areas are cleaned and maintained to the highest standards, to make the property the best possible place to visit and work.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES
The Housekeeper is responsible for a wide variety of housekeeping duties in connection with the well-being and care of the visited, non-visited and holiday accommodation at Crathes Castle and Estate per the Trust’s Housekeeping Procedures Manual, including the following:

• Routinely clean and look after the holiday accommodation and will involve but is not limited to:
o vacuuming, sweeping, mopping, polishing of floors
o dusting/polishing of surfaces and fittings such as furniture, ornaments, panelling, stairs, and doors
o dusting/wiping of sills, skirtings, door, and window frames
o cleaning of windows
o cleaning of lavatories, sinks, etc
o changing of bed linen and towels, and making of beds
o cleaning of bathroom/toilet areas and fittings
o cleaning of kitchen areas and equipment
o checking functionality of lighting, heating, TV/radio etc
o replenishing of welcome/hospitality trays, and consumables
o cleaning and providing clean laundry for each occupancy
o disposal of general household waste

• Assist with the administration of any repair works, liaising with the Visitor Services Supervisor to arrange necessary repairs.
• Ensure COVID 19 Guidelines and Safe Systems of Work is implemented effectively within function and with external contractors.
• Undertake any administration required in support of housekeeping, including (but not limited to): planning regimes for routine and in-depth cleaning; stock control and ordering of recommended cleaning consumables/janitorial supplies; recording work undertaken.
• Deliver excellent customer care to foster a friendly and inviting atmosphere for visitors.
• Share in the common responsibility of working in a manner mindful of the Trust’s obligations to minimise impact on the environment, through e.g. efficient use of water/heat/light, recycling and the disposal of waste, and considered use of transport.

Visiting our Café is an essential part of the visitor experience for those coming to Newhailes House and Gardens the role of the Visitor Service Assistant – Food & Beverage is to make it a positive and memorable part of a visitor’s day with us. Our café is a busy operation, and the ideal candidate should be experienced in a high volume, fast paced environment. Barista experience would be beneficial for this role however training will be given.

Core hours will be the minimum hours available, with the opportunity to work additional hours to suit the needs of the business. Must have full weekend availability, hours will be issued on a rota basis.

National Museums Scotland is one of the leading museum groups in Europe. With one of the largest and most diverse collections in the world, we are responsible for the acquisition, preservation and display of a substantial part of Scotland’s cultural, historic and national heritage.

We are looking for an enthusiastic, passionate, honest, service-driven individual to join our team.

Working front of house you will meet and greet visitors and assist them so that they have a great visitor experience. You will also sell tickets and retail goods.

Previous experience of delivering high quality service to others is essential but just as important to us is your confident and visitor focused disposition. You will be moving around the museum a lot, sometimes working outside and in areas exposed to the elements.

This role will be working on a part time basis of 17.5 hours per week. The post holder will work 5 days over 7 on a rotational basis. A sample rota can be found at the end of this document for your information. THE DIFFERENCE YOU’LL MAKE

In all that you do, you’ll support the Retail Team by providing excellent direct customer services. Reporting to the Shop Manager your responsibilities will include:

Working flexibly undertaking a range of tasks including providing customer information, counter sales, cash taking and till operations, ensuring high standards of customer service in keeping with our standards, aims, and objectives.

Developing and maintaining a thorough knowledge of all products to be able to identify features and benefits and introduce appropriate linked sales.

Contributing to the achievement of sales targets by proactively promoting NGS shop products and/or tickets.

Ensuring the security of NGS cash, stock, equipment, and property within the shop/ticketing area.

Maintaining the standards of merchandising, display and housekeeping required.

Carrying out ticketing and/or shop administration procedures and activities including maintaining records of stock transfers and adjustments, banking procedures, purchase order procedures, stock records and cashing up tills.

Receiving, checking, and pricing deliveries, ensuring that stock is well maintained and securely stored.

Assisting the Shop Manager and/or Supervisor to improve customer service, selling and retailing standards and shop performance generally through providing customer feedback and contributing ideas to improve the performance and smooth running of the shop.

Checking tickets upon entry to the exhibition to ensure the ticket is valid and assisting visitors as necessary.
